Guided Travel LTD (Guided Travels)

These Terms & Conditions (“Terms”) govern (i) your use of the Guided Travels website and related digital channels, and (ii) your booking and use of travel services provided by Guided Travel LTD (“Guided Travels”, “we”, “us”, “our”). By accessing our website, requesting a quote, making a booking, paying an invoice, using a payment link, booking through Bokun, or communicating with us through any channel, you acknowledge that you have read, understood, and agree to these Terms.

If you do not agree to these Terms, please do not use our services or make a booking.

1) Definitions

To make these Terms easier to understand, the following definitions apply:

  • “Company” / “Guided Travels” / “we” / “us” / “our” means Guided Travel LTD.
  • “Customer” / “Traveler” / “you” means the individual booking, paying for, or participating in a service, or the legal entity booking on behalf of travelers (e.g., an agency or partner).
  • “Services” means any travel services offered by us, including tours, transfers, accommodation booking, ticket assistance, visa support, itinerary planning, and related travel arrangements.
  • “Booking” means a confirmed reservation for a Service.
  • “Booking Confirmation” means written confirmation issued by us or via our platforms (including Bokun confirmation), indicating your Booking is accepted.
  • “Tour Page” means the webpage (or Bokun checkout page) where a specific tour/service description, inclusions/exclusions, and the tour-specific cancellation policy are shown.
  • “Suppliers” means third parties involved in delivering Services (e.g., hotels, airlines, museums, drivers, guides, restaurants, attraction operators).
  • “Force Majeure” means events beyond reasonable control (see Section 18).
  • “Platforms/Channels” means our website, Bokun, Stripe links, invoices, email, WhatsApp, Telegram, phone, and any other official communication channel we use.

Guided Travel LTD is an official tour operator based in Uzbekistan and Turkmenistan and may act as a direct supplier on international booking systems, including Bokun.

3) Scope of Services

We provide travel services, including (but not limited to):

  1. Tours: group tours, private tours, multi-day tours, day tours, and themed travel programs in Uzbekistan, Turkmenistan, Kyrgyzstan, and other Central Asian destinations.
  2. Transfers & Transport: private vehicles with drivers, intercity transfers, airport/train station transfers, and transport logistics as described in the program.
  3. Accommodation Services: booking hotels and related lodging arrangements (as part of packages or separately).
  4. Flight Ticket Assistance: flight search support, ticket assistance, and coordination (depending on service type).
  5. Visa Support: information, consultation, and documentation assistance for visa applications (see Section 16).
  6. Travel Insurance Assistance: guidance and assistance (not an insurance provider) (see Section 17).
  7. Custom Itineraries: tailored travel planning and operational coordination.

Important: Service details (inclusions, exclusions, standards, and schedules) are specified on each Tour Page, invoice, quotation, or written confirmation. In case of conflict, the Tour Page / booking confirmation and the tour-specific policy shown before checkout prevail for that particular booking.

4) Eligibility & Authority to Book

By booking, you confirm that:

  • you are at least 18 years old and have legal capacity to enter into a contract;
  • if booking on behalf of others, you are authorized to do so and accept responsibility to share these Terms with all travelers in your booking;
  • all information you provide is accurate and complete.

5) Use of Website and Communication Channels

5.1 Permitted Use

You may use our website and communications for personal, non-commercial travel planning and bookings. You agree not to misuse our content, systems, or staff.

5.2 Prohibited Activities

You agree not to:

  • copy, scrape, harvest, or reuse our itineraries, pricing, images, or content for commercial purposes without written permission;
  • use automated tools (bots/scrapers) to access our website or booking pages;
  • attempt to bypass security, payment systems, or access restricted areas;
  • submit fraudulent requests, chargeback abuse, or false claims;
  • harass, threaten, or abuse our staff or suppliers.

We may suspend or deny service where misuse, fraud risk, or abusive conduct is suspected.

6) Quotes, Availability, and Price Accuracy

6.1 Quotes and “Subject to Confirmation”

Some prices and availability may be indicative and subject to confirmation, especially for:

  • flights and ticketing,
  • peak season hotels,
  • permits, special events, or limited-capacity services.

A booking is confirmed only once we issue a Booking Confirmation and/or payment is received according to the payment terms communicated.

6.2 Errors and Corrections

We reserve the right to correct:

  • obvious pricing mistakes,
  • technical or typographical errors,
  • availability errors.

If an error affects your booking before confirmation, you may accept the corrected offer or cancel at no penalty. If an error is discovered after confirmation, we will work with you in good faith to provide an equivalent solution or applicable refund/credit as required by law and the applicable tour policy.

7) Booking Process and Confirmation

Bookings can be made through:

  • our website,
  • Bokun checkout,
  • Stripe payment links,
  • bank transfer,
  • invoices,
  • written confirmation via email/WhatsApp/Telegram.

A booking becomes confirmed when one or more of the following occurs (as applicable):

  • you receive a written Booking Confirmation from us;
  • Bokun confirms the booking;
  • we receive the required deposit/full payment;
  • we confirm booking acceptance in writing and issue an invoice/payment instructions.

We may request additional traveler details (passport data, dates, special needs) to finalize operational arrangements.

8) Payments

8.1 Accepted Payment Methods

Depending on the service, we accept:

  • Stripe (bank cards),
  • Bokun checkout,
  • bank transfer,
  • pay on arrival (cash) where explicitly offered,
  • partial deposit + balance (timing stated on Tour Page/invoice),
  • invoice-based payments (including B2B).

8.2 Deposits and Balances

  • Some tours/services require a deposit to confirm bookings and secure supplier services.
  • The remaining balance may be due before arrival, on arrival, or on a specified date—always communicated before payment.

8.3 Currency and Fees

  • Prices are shown in USD or EUR unless stated otherwise.
  • If you pay in another currency, exchange rates, bank charges, and card fees may apply and are your responsibility unless we explicitly state otherwise.

8.4 Taxes and Local Charges

Some destinations may impose local city taxes or tourism fees payable on-site. If applicable, this will be stated on the Tour Page or confirmed in writing.

9) Tour-Specific Cancellation & Refund Policy

9.1 Tour-Specific Rules Apply

Each tour/service has a tour-specific cancellation and refund policy, which is shown:

  • on the Tour Page and/or
  • during checkout and before payment confirmation.

By completing payment or confirming your booking, you agree to the specific cancellation rules for that service.

9.2 No-Show Policy

no-show (failure to arrive or participate without timely notice) is non-refundable, except where mandatory law requires otherwise.

9.3 Exceptional and Unforeseen Circumstances

In exceptional circumstances (e.g., death, serious accident, or verifiable medical emergency), we may, at our reasonable discretion:

  • offer credit toward another tour/service, or
  • rebook to another date/program, subject to supplier rules and availability.

Important: Where costs have already been paid to suppliers (hotels, permits, tickets, transport), those amounts may be non-refundable (see 9.4).

9.4 Non-Refundable Third-Party Costs

Refunds generally do not cover third-party costs already incurred, such as:

  • hotels/accommodation deposits,
  • flights/tickets,
  • permits and entrance tickets,
  • transport services,
  • special event fees or reservations.

10) Changes by the Customer

10.1 Date Changes and Program Changes

Requests to change dates, route, accommodation level, group size, or inclusions are subject to:

  • availability,
  • supplier policies,
  • recalculated pricing.

10.2 Name Corrections

Minor name corrections may be possible. For flights or permits, name changes may be restricted or charged by suppliers.

11) Changes by Guided Travels

We may adjust itineraries or logistics when necessary due to:

  • weather and safety conditions,
  • operational constraints,
  • supplier availability,
  • border/customs delays,
  • government restrictions,
  • unforeseen disruptions.

11.1 Standard of Replacement

Where changes are needed, we aim to provide:

  • equivalent services, or
  • equal or higher standard replacements (hotel/vehicle/guide), where reasonably possible.

11.2 Significant Changes

If a change is significant (e.g., major route change or removal of key inclusions), we will inform you as soon as reasonably possible and propose suitable alternatives.

12) Hotels and Accommodation Standards

Where accommodation is included, we may replace a listed hotel with another of equal or higher standard due to availability or operational reasons. Room categories, bed types, and special requests depend on hotel availability and are not guaranteed.

Check-in/check-out times follow hotel policies. Early check-in/late check-out may require additional fees.

13) Transport, Baggage, and Safety

Transport provided is as described in your program. Travelers must:

  • follow safety instructions (seatbelts, safe conduct),
  • respect vehicle rules,
  • keep personal belongings secure.

We are not responsible for lost or stolen items. Do not leave valuables unattended.

14) Guides, Group Dynamics, and Conduct

14.1 Guides

Where guiding services are included, guides may change due to scheduling or operational reasons.

14.2 Traveler Conduct

Travelers must comply with:

  • local laws and customs,
  • respectful behavior toward others,
  • safety instructions and program rules.

We may refuse service or remove a traveler from a tour (without refund) if their behavior:

  • threatens safety,
  • involves illegal activity,
  • seriously disrupts the group or operations.

15) Health, Fitness, and Special Requirements

It is the traveler’s responsibility to ensure they are physically fit for the tour activities described. Please notify us of:

  • medical conditions,
  • dietary requirements,
  • mobility limitations,
  • allergies.

We will make reasonable efforts to accommodate special needs when informed in advance, but cannot guarantee availability in all regions.

16) Visa Support Disclaimer

We may provide visa consultation and documentation assistance. However:

  • we do not guarantee visa approval;
  • visa decisions are made solely by government authorities;
  • we are not responsible for policy changes, processing delays, or refusal;
  • travelers are responsible for ensuring correct documents and entry requirements.

17) Travel Insurance Assistance

We are not an insurer. We may assist with travel insurance guidance or arrangements, but any insurance contract is between you and the insurance provider. We strongly recommend comprehensive insurance covering:

  • medical expenses,
  • trip cancellation/interruption,
  • baggage loss,
  • emergency evacuation.

18) Force Majeure

We are not liable for failure or delay in performance caused by Force Majeure events, including but not limited to:

  • natural disasters (earthquakes, floods, storms),
  • pandemics and health emergencies,
  • war, unrest, terrorism, riots, strikes,
  • border closures, sanctions, embargoes,
  • government restrictions or orders,
  • sudden supplier shutdowns outside our control.

In Force Majeure situations, we will act in good faith to:

  • reschedule, re-route, or modify services, and/or
  • offer credit where feasible, and/or
  • apply refunds only to the extent recoverable from suppliers and required by applicable law.

19) Flights and Ticket Assistance

If flight ticket assistance is provided:

  • schedules, delays, cancellations, airline policies, and baggage rules are controlled by airlines;
  • we are not liable for airline changes or missed connections caused by airlines, border control, or traveler actions;
  • travelers must reconfirm flight schedules and comply with airline rules.

20) Third-Party Content, External Links, and Platform Tools

Our website and pages may include third-party tools and content (e.g., Bokun widgets, maps, embedded media, partner materials). We do not control third-party websites or services and are not responsible for their content or availability.

21) Intellectual Property

All Guided Travels content (including tour texts, itineraries, images, branding, downloadable documents) is protected by intellectual property laws and may not be copied, reused, or distributed without written permission. Please also see our Copyright & Intellectual Property Policy.

22) Limitation of Liability

To the maximum extent permitted by applicable law:

  • We are not liable for indirect or consequential losses (loss of profit, loss of enjoyment, missed connections, etc.).
  • We are not liable for acts/omissions of third parties outside our reasonable control (airlines, border authorities, hotel staff, etc.).
  • Our total liability for any claim connected to a service shall not exceed the amount you paid to us for the affected service, except where liability cannot be limited under mandatory law (e.g., certain consumer protections).

Nothing in these Terms limits liability that cannot be excluded by law, including liability for death or personal injury caused by proven negligence where applicable.

23) Supplier Responsibility & Service Allocation

To ensure transparency, the responsibilities for different components of your travel experience are allocated as follows.

23.1 Services Directly Controlled by Guided Travels

Guided Travel LTD is responsible for the proper organization and coordination of services that we directly arrange and control, including:

  • overall tour planning and itinerary structure;
  • selection and coordination of local guides and drivers;
  • private transfers and transport operated under our contracts;
  • coordination of accommodations booked as part of our tour packages;
  • operational support during the tour period.

We are responsible for exercising reasonable care and skill in the delivery of these services.

23.2 Third-Party and Independent Suppliers

Certain services are provided by independent third parties over whom we do not have direct control, including but not limited to:

  • airlines and flight operators;
  • border control, customs, and immigration authorities;
  • hotels and accommodation providers;
  • restaurants and catering services;
  • museums, monuments, and attraction operators;
  • insurance providers;
  • visa authorities and embassies.

These suppliers operate under their own terms, conditions, and legal responsibilities.

Guided Travel LTD is not responsible for the acts, omissions, delays, changes, errors, negligence, or failures of such third-party suppliers, except where liability is mandatory under applicable law.

23.3 Airlines and Flight-Related Services

Where flight ticket assistance or coordination is provided:

  • flight schedules, cancellations, delays, overbooking, aircraft changes, baggage policies, and check-in requirements are determined solely by the airline;
  • we are not responsible for missed connections, denied boarding, or schedule changes imposed by airlines or authorities;
  • travelers must comply with airline rules and reconfirm flight details directly with the carrier.

Any claims relating to air transport must be addressed directly with the airline in accordance with applicable aviation regulations.

23.4 Border, Customs, and Immigration Decisions

Guided Travel LTD has no authority or control over decisions made by:

  • immigration officers;
  • customs officials;
  • border security agencies;
  • local or national authorities.

We are not liable for denied entry, deportation, delays, or additional checks, even if all documentation appears to be in order.

23.5 Maximum Liability

To the maximum extent permitted by applicable law, and subject to mandatory consumer protections, any liability of Guided Travel LTD shall be limited to the amount actually paid to us for the affected service.

24) Photography, Video Recording & Marketing Consent

24.1 Use of Images and Recordings During Tours

During tours and services operated by Guided Travel LTD, photographs and video recordings may be taken by our staff, guides, or authorized partners for operational, promotional, and marketing purposes.

These may include images or recordings in which travelers appear incidentally or as part of a group.

24.2 Grant of Permission

By participating in a tour or service, you grant Guided Travel LTD a non-exclusive, worldwide, royalty-free, perpetual license to use such photographs or recordings for:

  • marketing and promotional materials;
  • website and social media content;
  • brochures, presentations, and advertisements;
  • third-party platforms where we list or promote our services (e.g. booking platforms, partner websites).

This use may occur in any media format now known or later developed.

24.3 Opt-Out Option

If you do not wish to appear in photographs or recordings used for marketing purposes, you must inform us in writing before the tour begins or notify the guide on the first day of the tour. We will make reasonable efforts to respect your request.

24.4 No Compensation

Travelers acknowledge that participation in such images or recordings does not entitle them to compensation, royalties, or approval rights over the final materials, except where required by mandatory law.

25) Chargebacks and Payment Disputes

If you have an issue, you agree to contact us first at connect@guidedtravels.me to attempt resolution before initiating a chargeback. Fraudulent or abusive chargebacks may result in service cancellation and legal recovery actions where permitted.

26) Privacy and Data Protection (GDPR-Friendly)

We process personal data to:

  • provide bookings and services,
  • communicate with travelers,
  • comply with legal/accounting obligations.

Data may be collected via:

  • booking and contact forms,
  • Stripe and Bokun systems,
  • email/WhatsApp/Telegram communications,
  • cookies/analytics tools.

We do not sell personal data. We share data only with suppliers when necessary to deliver services (hotels, transport, guides). You may request access, correction, or deletion where applicable by contacting connect@guidedtravels.me.

27) Complaints and Customer Support

If you have a complaint or service issue, contact us promptly so we can help.

When possible, include:

  • booking reference,
  • travel dates,
  • description of the issue,
  • supporting evidence (photos/receipts).

We aim to respond within a reasonable timeframe.

28) Changes to These Terms

We may update these Terms periodically for legal, operational, or service reasons. Updates take effect once posted on our website with a revised “Last updated” date.

For confirmed bookings, the Terms applicable at the time of booking generally apply, unless changes are required by law or to address urgent security/legal issues.

29) Governing Law and Dispute Resolution

These Terms are governed by the laws of the Republic of Uzbekistan, without regard to conflict-of-law principles.

Before starting formal proceedings, both parties agree to attempt an amicable resolution in good faith. If unresolved, disputes shall be submitted to the competent courts in Uzbekistan.

Consumer rights note: If you are a consumer, you may have mandatory rights under the laws of your country of residence that cannot be excluded by contract. Nothing in these Terms affects those mandatory rights.
